This video is an overview of the Fax Numbers feature new to RightFax 10.6 Feature Pack 3.
Fax Number Management is a new feature that provides value to RightFax Administrators who are currently managing their fax numbers in systems external to RightFax. This feature is advantageous to administrators managing fax numbers in applications like Excel or Access, or even manually. This feature joins the management of fax DID numbers into RightFax. No longer will you have to manage lists of numbers adding, or crossing off numbers for users.
You can import fax numbers and ranges of fax numbers.
Once these are imported, users can be assigned any available fax number from this available pool. You can assign based on "first come/first served" and just grab the first number on the list or you can assign specific numbers for the user.
If a user leaves or moves in the organization, and the user is removed that fax number is automatically returned to the pool of usable fax numbers for re-use.This makes other functionality easier such as automatic internal routing of fax calls that are destined for any internal fax numbers listed in the fax numbers database. When users or workflows are routing faxes from one user to another within the RightFax organization you can avoid telephony charges by using Least Cost Routing, an internal route for any of these faxes and this requires no different configuration on the part of the administrator and no change in process for the end users--RightFax automatically recognizes numbers in the database and routes internally.
Another new function with this new feature is the ability for administrators to restrict fax number by assignment by group membership. So for example if your environment has several area codes you can actually restrict fax numbers by group.
Now let's take a look at the Fax Numbers applet in Enterprise Fax Manager.
You can add or import numbers and they will be listed on the left-hand pane of the right window, and as users are assigned the numbers they will be listed in the right-hand pane. This allows administrators to quickly see which users are assigned to which numbers and also how many fax numbers are available so if needed, they can reach out to their telephony provider and order additional numbers for fax users in RightFax.
Ultimately this feature is taking an administrative task and making it readily available and front and center in the software for a more efficient process.
